JobSummaryThe Faculty of Arts and Sciences (FAS) is the largest division of Harvard University and is comprised of 150 departments including Harvard College, the Graduate School of Arts and Sciences, the School of Engineering and Applied Sciences, the Division of Continuing Education, libraries, museums, and athletics. As of Fall 2019, FAS was composed of 1,221 total faculty, 6,716 undergraduate students, 4.600 graduate students, 13,643 continuing education students, 2,600 administrative staff, offering approximately 1,200 undergraduate courses per semester held in 480 learning spaces. Education Support Services (ESS), formerly Instructional Media Services, in the Faculty of Arts and Sciences provides world-class audiovisual and instructional support, training and consulting services to faculty, staff, students. The team supports the school's mission by delivering premium technology offerings that enhance and creatively advance the teaching & learning environment. The Event and Media Production service group combines the former Media Production Services (MPC) with all prior event and media production services provided by various groups for the FAS, Harvard and external groups hosted by the University during business hours, evenings and weekends. This includes short-form videos, academic and student events, Commencement, high-profile administrative events as well as live virtual music event production using advanced studio and sound engineering. The Director of Event and Media Production, ESS is responsible for developing and executing a strategic plan to centralize all event and media production services across the University and the FAS. This includes creating and implementing processes, policies, staff, studio spaces and technology needed for a common intake process and a tiered service model that caters to the entire spectrum of event and media production. The incumbent will work with other ESS managers and leaders, FAS and University clients, Harvard University IT (HUIT), Office of Physical Resources and Planning (OPRP), Studio and event staff as well as vendors to deliver world class events. Job-SpecificResponsibilitiesAccountable for smooth daily operation of all media production for courses and event services for the FAS and high-profile University clients. This includes the group previously known as Media Production Center (MPC), the Plympton and Hauser studios, and elements of the former Media Technology Services group that directly support courses, non-course events, and administrative events. Involves the creation and evolution of services, billing model, staffing, budgeting and appropriate process and policies. Includes the negotiation of contracts with talent, vendors, both internal and external to Harvard. Provide leadership and development of up to 10 direct reports, including both full-time and temporary resources. Consult with faculty, staff, and students and evolve the group's production and event service offerings to meet their needs. Deliver on mission of providing world-class production and event services and support at every opportunity, and model it individually. Communicate with ESS leadership and clients regularly to achieve these goals. Work with team to ensure successful delivery of complex production requests and campus events. Ensure staff has appropriate tools, technical training, professionalism, customer service and produces high quality deliverables. Liaise with OPRP, HUIT and vendors as needed for IT and space support needs. Partner with leadership to ensure that projected growth and costs are accurately reflected in budget submissions. This includes creation of new studio spaces based on growth. Liaise with peer institutions as needed. Monitor ServiceNow tickets that pertain to Event and Media support through phone, e-mail, walk-in and in-field channels. Manage the pipeline of requests, staffing of jobs and annual capacity planning.Basic QualificationsBachelor's degree Seven or more years of professional management experience leading a service delivery team of at least 5 staff with a variety of clients, services, and spaces Experience managing and producing large scale events for studio, live and virtual audiences Experience developing and managing budgets and service contracts Experience with managing project and event lifecycles using SNOW or a similar ITSM application Experience producing dashboards and reports to communicate key metrics to management AdditionalQualificationsand SkillsManaging a diverse team towards excellence in the following areas: customer service, marketing, communications, intake process and policies Ability to serve as a change agent and manage team through periods of rapid change Proven ability to collaborate with faculty, staff, students, senior management, and executives across a large, distributed organization Previous experience managing in a union environment Previous experience in a higher-education environment Experience implementing, measuring, reporting, and managing to key operational metrics Strong customer service orientation Excellent oral and written communication skills, with ability to communicate complex technical issues to non-technical users Experience managing the production of musical events preferred PhysicalRequirementsCan lift or carry up to 25 lbs. of equipment Working ConditionsOffice/Remote; on-campus, critical positionAdditional InformationFAS is committed to cultivating not only the diversity of our faculty, staff, and students but also in developing an inclusive culture that is vibrant, engaging and encouraging of innovation as well as intellectual debate.
