Job Description The responsibilities of the title as noted above are as shown below. These are general descriptions that may or may not apply to specific team members who possess these titles. These are made generally available to the VBC - Studio organization as a whole in order to clearly delineate areas of growth or improvement for those aiming to gain additional experience and increased responsibility. * Answer, screen, route telephone calls and prepare correspondence and email for designated executive team * Proactively manage and facilitate emails for designated executive team when necessary * Proactively manage schedule and maintain calendars for designated executive team (business and personal) updating daily or otherwise as needed * Manage and maintain architectural, organizational, and divisional business registrations as needed * Coordinate travel, legal requests, and financial reporting as needed with larger corporate infrastructure * Develop messaging with designated executive team to ensure consistent, integrated, and comprehensive system of communications regarding office wide protocol * Respond to employee team and external Client requests in a timely manner within 48 hours of initial request * Respond to executive team in a timely manner within half an hour of the initial request * Act as point of contact for Clients when necessary, facilitating a high level of customer service and projecting a polished image for VBC Studio and VBC as a whole * Facilitate and follow through on business development efforts in conjunction with VP of Design and Business Development team * Incorporate creative approaches to various projects by taking initiative and working independently * Grow and maintain familiarity with cross-disciplinary functions in order to communicate on them effectively and accurately * Prepare special project reports which may include data collection, coordination, final copy preparation, distribution, etc. * Develop and maintain key KPI and other reports under the direction of designated executive team * Serve as an HR partner and assist in the recruitment and onboarding processes, employee record keeping, training, and administration, etc. * Assist in administering firm policy and overseeing adherence to firm practices * Maintain team cohesion on a day-to-day basis and aid in leadership and team development efforts * Project warmth and enthusiasm toward internal teams and external visitors * Serve as a proactive member of the team by participating in events and committees as needed while providing input and suggestions for improvement
