General Summary/Overview Statement

Reporting to the Manager, Ambulatory Virtual Care Portfolio & Program Operations, the Project Specialist, Virtual Care - Operations will provide project support across all programs within the Virtual Care Department. - The role will also help standardize and support the use of WorkFront for project management and time tracking purposes across all Virtual Care programs and will serve as subject matter expert within the VC Department for workflows that were developed in collaboration with the Virtual Platform Services team. - The Project Specialist, Virtual Care Operations will lead or collaborate on the design, implementation, management, and support of all aspects of large, complex projects and process improvement initiatives in order to meet the overall program goals and milestones of the Virtual Care Department.

The Project Specialist, Virtual Care Operations will manage the Virtual Care Service Now support processes and workflows. This role will be responsible for managing the Virtual Care "Provider Virtual Experience - DHeC" Service Now queue, resolving all non-technical tickets, reassigning technical issues to the appropriate IS or Digital Health queues and maintaining Virtual Care-specific support documentation for VC Service Now workflows. This role will also act as subject matter expert and resource on Service Now related support processes and workflows to all members of the Virtual Care team.

The Project Specialist, Virtual Care - Operations will take direction from the Manager, Ambulatory Virtual Care Portfolio & Program Operations primarily and from other Virtual Care Managers and Program Managers on occasion/as needed. This role will work collaboratively with individuals throughout Mass General Brigham to include the Virtual Platform Strategy (VPS) team and other IS groups, the Digital Health eCare (DHeC) group, Quality & Patient Experience (QPE), Population Health Management (PHM) and Site Leaders from entities across the enterprise.

This position requires excellent interpersonal skills, professional maturity, attention to detail, problem solving and an innovative mindset.

Principal Duties and Responsibilities

Assist in the day-to-day operations across all Virtual Care programs within the Digital Health Virtual Care Department.Collaborate with the Program Director for Virtual Care, the Manager of Virtual Care Operations, the Manager for Virtual Care Business Support, Virtual Care Program Managers and all other Virtual Care staff as needed to assist in the design, implementation, and management of all aspects of large and complex projects and process improvement initiatives as needed.Act as a resource to members of the Virtual Care team on the effective and efficient use of Workfront for project management and timekeeping.Develop and own project plans and proactively manage and coordinate open action items.Prepare and deliver presentations, meeting materials, minutes and action plans.Manage the Virtual Care Service Now queue and act as a resource to all members of the Virtual Care Team on VC-specific Service Now support processes.Ensure coordination of efforts within Mass General Brigham to include the Virtual Platform Strategy (VPS) team and other IS groups, the Digital Health eCare group, Quality & Patient Experience (QPE), Population Health Management (PHM) and Site Leaders across the enterprise.Understands, partners and networks with all stakeholders across the Virtual Care programWorks collaboratively with clinical and administrative teams at hospitals across the Mass General Brigham network to manage Virtual Care program support activitiesOther duties as assigned
Qualifications -Bachelor's degree required5-7+ years of related experience including 3-4 years project management experience in a healthcare setting.Demonstrated Project Management expertise and refined skillVirtual Care/Telehealth experience preferred.

Skills/Abilities/Competencies Required

Strong Project Management SkillsSelf-motivated, resourceful, and able to take initiative.Proficiency in PowerPoint, Visio, Teams and Excel. Excellent writing and presentation skills.Experience in Workfront or similar project management tools (e.g. MS Project, Smartsheet, etc.). Ability to document and communicate the status of progress against plans, taking corrective action as necessary.IS experience preferred, knowledge of Service Now a plus. Experience with Virtual Care-Telehealth data (Zoom, Doximity, etc..) a plusAbility to work independently or as part of a team.Ability to work collaboratively in a large and complex organization and to develop effective relationships with a broad array of people (different levels of management and clinical experts).Excellent organizational skills and attention to detail; able to manage multiple tasks and projects, meet deadlines, and manage to schedule.Ability to problem solve and trouble shoot.

Working Conditions

Remote/Home Setting, with some local travel between Mass General Brigham sites possible.
